MS37: Establishment of Regional Hubs for Collaboration building & Outreach
All hubs were established by mid December 2015. Each hub has at least one "field coordinator", whose role is to act as a project manager on behalf of the partner organisation to monitor and supervise the delivery (and QA) of In-Kind from their region. Each field-coordinator is also responsible for the communication between institutes, organisation of partner days, and act as the liaison with the ESS In-Kind office (e.g. understand in detail the In-Kind processes at ESS).
Each hub thus has at least 1 field coordinator in place; in some cases there are 0,5 or 1 person extra. In some cases the position was filled temporarily in December until the real field-coordinator had been recruited. This has now been completed for all hubs. The qualification-requirements for the field-coordinators are different for each hub, depending on the role of the Member/institutes. For example: emphasis in recruitment have have been on experience with accelerators (France, UK, IT), whereas in Germany (which is also the hub for Switzerland and the Czech republic) the emphasis has been on the coordinator having a neutrons background. This was considered important because of the need for each field-coordinator to be able to easily operate in the lab-environments. The Nordic hub is located at ESS and is responsible for Sweden, Denmark, Latvia, Lithuania and Norway). The WP2 leader has visited several locations to advise on the qualification requirements for individual hubs. The first full WP2-meeting in which all hub field-coordinators are present, will be on the 11+12 February 2016. At this meeting the details of working as field-coordinators in relation to the ESS-IKC office will be discussed in detail. A meeting agenda is available and detailed minutes will be taken.
