The purpose of the meeting was to discuss the preparation of Deliverable 3.1, in the frame of Work Package 3 “In-Kind Contribution Management”. Deliverable 3.1 will consist of a report relevant to “Agreed joint working practices”, which is to serve both as an integral part of the BrightnESS² project, but also as an element of a wider array of documentation that is to form the “In-Kind Management Business Plan” for the years to come. The focus of the deliverable will be on better understanding and defining the evolution of In-Kind Management in the Implementation phase of ESS and in the frame of the newly defined organizational structure of ESS.
From these points of view, a particular focus of the meeting was on the way of working with the two major present aspects of IK Management, i.e. the IK Framework Management and the IK Supply Chain Management. While the former traditionally addresses issues of the IK Management devoted to support the Partners, which include, but are not limited to: Collaboration Contracts, Technical Annexes, aspects related to VAT, technical documentation, quality documentation, CE marking, administrative and financial aspects, the latter is getting more and more importance and attention as the contributions from the IK Partners are now being physically manufactured, tested, and shipped to the ESS site to be assembled and commissioned.
During the meeting it was discussed and agreed how to share the preparation of the different sections of the document in order to get the contribution of all Field Coordinators, according to their specific knowledge of, and experience in, the different issues.
The report will then be consolidated by the ESS IK Management Group and released by the end of October 2019.
